Retention calculator

Enter the contract sum, the value certified so far and the retention terms. You see what is held, whether it has reached its limit, and what is due back at each release.

Enter the contract sum and the value certified.

How retention works

Each payment certificate holds back a percentage of the value certified until the amount held reaches the limit in the contract data, usually a percentage of the contract sum. After that nothing more is held.

Part of it, commonly half, is released at practical completion (or taking over), and the rest at final completion or the end of the defects period. Your contract data sets the percentages; change them to match.

Worked example

On a R10 million contract with 10% retention limited to 5% of the contract sum, R8 million has been certified. 10% would be R800 000, but the limit is R500 000, so R500 000 is held. Half, R250 000, comes back at practical completion and R250 000 at final completion.

Questions about the retention calculator

Is retention worked out on the gross or the net value?

On the gross value certified to date, before deducting previous payments. That is what the calculator uses.

Can retention be replaced by a guarantee?

Many contracts allow a retention guarantee instead of cash retention. Check the contract data; the amounts would be the same.

When is the second half released?

At final completion or at the end of the defects liability period, depending on the contract. The result shows both releases so you can diarise them.

What if the contract sum changes?

The limit is usually a percentage of the contract sum; enter the revised sum if variations have changed it and your contract says the limit follows it.
