Payments

Get paid what the contract says, when it says.

Every payment certificate's due date from your contract, interest counted daily when it is late, reminders to finance and the contracts manager, and the non-payment notice drafted for a person to send.

Why it matters

How it works

From the certificate to the notice, on your contract's terms.

  1. 1

    Register the certificate

Upload or photograph each payment certificate. Sakhani AI reads the figures: the gross certified, materials on site, retention held and what was certified before, and works out the amount payable this time.

  2. 2

The due date comes from your contract

The payment period in your contract data, or a Z-clause of your signed contract that changes it, accepted by your QS. The standard form's period only when neither says otherwise. The agent's own clock runs too: a certificate not issued in time shows as late.

  3. 3

    Late: interest runs, people hear

From the day after the due date, interest runs daily at the rate in your contract data. The people on the project who handle certificates are reminded before the payment date, on email or WhatsApp.

  4. 4

Not paid: the notice is drafted

The non-payment notice is pre-filled from the certificate: the number, the amount, the due date, the days late and the interest. Your contracts manager checks it and sends it, and the register keeps the date it went.

The register

What was certified, what was paid, what is owed.

One register per project, and every project's totals on one screen for the director and finance.

  • Every certificate's stateAwaited, due, paid, paid late, short-paid or overdue, with the days and the rand amount, in the colours used across Sakhani.
  • Interest to dateCounted day by day at the project's rate, for every certificate paid late or not yet paid, so the figure in the letter is the figure in the register.
  • Retention heldThe retention on every certificate, read with the rest of the figures and added up across the project.
  • Every project on one screenCertified, outstanding, overdue, interest and retention, added up across the company's projects for the director and finance.

Questions contractors ask

Which interest rate applies?

The one in your contract data, typed once on the project's payment terms. Where the contract ties it to the prime rate, put in the rate it gives; the free late payment interest calculator shows the current prime and prescribed rates.

Where does the payment period come from?

Your contract data first, then a Z-clause of your signed contract that your QS has accepted, and the standard form's period only when neither sets one. The register says which it used.

Does it track retention?

Yes. The retention held on each certificate is read with the rest of the figures and added up for the project.

Can finance follow the payments?

Yes. Give finance the Finance role on the projects it follows: it sees the payment register and the interest, and can send the non-payment notice. Each person chooses on Notifications whether certificate reminders reach them by email, WhatsApp or both.

What if the certificate itself is late?

Enter the date you submitted your payment claim and the agent's clock runs from it. A certificate not issued in time shows as late, ready to become an event.
