Cancellation and refunds

Version dated 30 Oct 2026. How Sakhani subscriptions are charged, how to cancel, and when money is refunded.

This page summarises clauses 4 to 6 of the terms of service. If the two ever differ, the terms of service apply.

The free trial

  • Every new company starts with a free trial of every module. No card is needed and nothing is charged.
  • When the trial ends the account becomes read-only until a subscription is paid. Nothing is deleted.

How subscriptions are charged

Sakhani is a subscription, charged per company, in advance, in South African rand. There is no once-off purchase or licence fee.

  • Monthly by card: PayFast charges the same card each month until you cancel.
  • A year up front: one payment at the annual price on the pricing page. It is not charged again; a new invoice follows when the year ends.
  • By electronic funds transfer: you pay each invoice yourself, and nothing is taken from your account.

How to cancel

  • Monthly by card: the master user or an administrator cancels under Subscription & billing in the app.
  • A year up front, or by electronic funds transfer: there is no card charge to stop. Tell us by email that you do not want to continue.
  • Cancelling stops future charges. You keep full use of Sakhani until the end of the period you have paid for.

Refunds

  • No refund is made for the unused part of a paid period, whether a month or a year paid up front. The exceptions are below.
  • If you are a natural person who entered into the agreement as a consumer under the Electronic Communications and Transactions Act, 2002, you may cancel within seven days after your first payment without giving a reason, and we will refund that payment within thirty days.
  • Where the Consumer Protection Act, 2008 applies to your company, nothing here limits the rights it gives you, including the right to cancel a fixed-term agreement on twenty business days' notice.
  • If you were charged twice, or charged after you cancelled, we refund that amount in full.

How to ask for a refund

Write to info@sakhani.co.za with your company name and the invoice number. A card payment is refunded through PayFast to the same card, and an electronic funds transfer to the account it came from, within thirty days of our agreeing the refund.

If an invoice is not paid

An unpaid invoice makes the account read-only after the grace period stated on the billing page, and the account is suspended after a further period stated there. Everyone can still read the record while the account is read-only.

When the account ends

Your data stays available for export for thirty days. After that it is deleted from the live system and from backups in the ordinary backup cycle.
